These Terms set the rules for using RolePilot, including account access, connected platforms, subscriptions, cancellations, payment obligations, intellectual property, and the limits of our responsibility. Section 5 contains important disclosures about third-party platform risks including account bans and restrictions — please read it carefully before using automated features.
These Terms of Service govern your access to and use of the RolePilot website located at https://rolepilot.io, the RolePilot web application, and any related products, services, software, support channels, or features we make available.
By creating an account, accessing the service, connecting third-party casting platforms, or otherwise using RolePilot, you agree to be bound by these Terms and by our Privacy Policy. If you do not agree, do not use the service.
If you use RolePilot on behalf of a company, loan-out, manager, or other entity, you represent that you have authority to bind that party to these Terms.
AGE REQUIREMENT. You must be at least eighteen (18) years old to create or hold a RolePilot account. By creating an account, accessing the service, or otherwise using RolePilot, you represent and warrant that you are at least 18 years of age and have the legal capacity to enter into and be bound by these Terms. RolePilot is not directed to children under 13 and we do not knowingly collect personal information from anyone under 13 (see also our Privacy Policy and our COPPA compliance posture). If we learn that we have collected personal information from a person under 18 without the required authority, we will delete that account and any associated data.
PARENTAL OR GUARDIAN USE. If you are a parent or legal guardian and you intend to use RolePilot in connection with a minor child's casting work, you may do so only by maintaining the account in your own name, on your own behalf, and under your sole responsibility. You may not register an account in a minor's name. You remain solely responsible for compliance with all applicable child performer, coogan, work-permit, and casting-platform youth-account rules.
You must be legally able to enter into a binding contract to use RolePilot. You are responsible for providing accurate registration information, keeping your account credentials secure, and restricting access to your account.
You are responsible for all activity under your account unless and until you notify us of unauthorized access. You may not share your account in a way that circumvents plan limits, security controls, or intended service design.
We may suspend or terminate accounts that contain false information, infringe the rights of others, create security risks, or violate these Terms.
RolePilot provides workflow, automation, organization, filtering, and related tooling for actors and related professionals. RolePilot is not a casting platform, talent agency, manager, law firm, employer, or guarantor of opportunities, auditions, submissions, callbacks, bookings, income, or professional outcomes.
RolePilot may rely on information from third-party platforms, your own inputs, and platform-specific access or technical availability. Features may change as third-party services, selectors, workflows, or access requirements change.
You understand that role availability, eligibility, search results, fit calculations, and submission outcomes may change rapidly and may depend on systems or data outside our control.
RolePilot is not your talent agent, manager, fiduciary, employer, lawyer, or legal representative, and nothing about your use of the service creates any of those relationships. We do not negotiate on your behalf, advise on contracts, hold funds, or owe you the duties owed by a regulated talent representative under California's Talent Agencies Act or comparable laws elsewhere. You retain sole authority over which projects to pursue, which submissions to send, and which professional relationships to enter. The service is a workflow toolkit — final casting and career decisions belong to you and to the people on the casting side of the table.
Certain features allow you to connect third-party casting or entertainment industry accounts that you independently maintain. You are solely responsible for ensuring that your use of RolePilot in connection with those accounts is permitted under your agreements with those providers and under applicable law.
You authorize RolePilot to store, process, and use the credentials and related authentication materials you provide for the limited purpose of delivering the service features you request, including sync, saved-search configuration, workflow automation, and related account operations.
RolePilot operates as a user-authorized service. We act only on the basis of credentials and instructions you have provided, within the access your own account on the connected platform already has. We do not bypass authentication systems, defeat technical protections, escalate beyond your account's authorized permissions, or interact with platforms on behalf of users who have not connected the platform themselves. Where your account on a connected platform has the right to view a role, we may surface or process that role for you under that same authority. Where your account does not have access, neither do we.
You must not connect accounts you do not own or control, or use RolePilot to access, copy, interfere with, or submit through any third-party service in a way that is unauthorized, unlawful, abusive, or misleading.
YOU ACKNOWLEDGE AND AGREE THAT EACH THIRD-PARTY CASTING PLATFORM HAS ITS OWN TERMS OF SERVICE, ACCEPTABLE USE POLICIES, AND ENFORCEMENT PRACTICES. ROLEPILOT MAKES NO REPRESENTATION THAT USE OF THE SERVICE IS PERMITTED UNDER ANY THIRD-PARTY PLATFORM'S RULES. YOUR USE OF ROLEPILOT IN CONNECTION WITH ANY THIRD-PARTY PLATFORM IS ENTIRELY AT YOUR OWN RISK.
ASSUMPTION OF RISK — PLATFORM BANS AND ACCOUNT RESTRICTIONS: By using RolePilot's automation, submission, and sync features in connection with any third-party casting platform — including but not limited to Casting Networks, Backstage, and Actors Access — you expressly acknowledge and assume all risks associated with that use, including the risk that the applicable platform may, at its sole discretion and for any or no reason, suspend, restrict, limit, de-prioritize, flag, penalize, or permanently ban your account on that platform.
ROLEPILOT IS NOT RESPONSIBLE FOR THIRD-PARTY PLATFORM ENFORCEMENT DECISIONS. RolePilot does not control, and has no ability to influence or predict, the enforcement practices of any third-party platform. Each casting platform independently determines whether a particular account's activity violates its rules and what action, if any, to take. RolePilot has no prior notice of, and no ability to prevent, any platform enforcement action taken against your account. RolePilot is not liable for any account suspension, restriction, feature limitation, ban, removal, de-prioritization, reduced visibility, or other enforcement action taken by any third-party platform against your account, regardless of whether that action was caused, contributed to, or influenced in any way by your use of RolePilot.
CASTING PLATFORM TERMS OF SERVICE. Third-party casting platforms publish their own terms of service and acceptable use policies, which may prohibit or restrict automated access, scripted submissions, or third-party software integrations. Those platform terms are subject to change at any time without notice. It is your sole responsibility to review, understand, and comply with the current terms of service for every platform you connect to RolePilot. RolePilot does not interpret, advise on, or guarantee compliance with any third-party platform's terms of service. Nothing in these Terms or in any RolePilot marketing, communications, or product features constitutes a representation that use of RolePilot is permitted under any third-party platform's terms.
SUBMISSION LIMITS AT OUR DISCRETION. RolePilot applies internal per-platform and per-day submission limits to help protect your connected accounts from triggering platform anti-abuse measures. These limits are set, adjusted, and enforced at RolePilot's sole discretion and may change at any time without notice. RolePilot does not guarantee any minimum number of submissions, applications, or auto-applies on your behalf, and the absence of a submission to any particular role is not a breach of these Terms or of any plan.
NO LIABILITY FOR LOST ACCESS OR CAREER CONSEQUENCES. If your account on any third-party casting platform is suspended, restricted, or banned in connection with your use of RolePilot — whether or not such action is the direct or indirect result of RolePilot's features — RolePilot shall have no liability to you for any resulting loss, including but not limited to: loss of access to the platform, loss of audition opportunities, loss of callbacks or bookings, loss of professional standing or relationships, loss of income, loss of resubmission rights, or any other career or financial consequence. THIS EXCLUSION APPLIES REGARDLESS OF THE THEORY OF LIABILITY, WHETHER IN CONTRACT, TORT (INCLUDING NEGLIGENCE), STATUTE, OR OTHERWISE, AND REGARDLESS OF WHETHER ROLEPILOT WAS ADVISED OF THE POSSIBILITY OF SUCH LOSS.
CALIFORNIA NOTICE. You are entering into this agreement with full knowledge that automated or scripted interactions with third-party online platforms may be treated by those platforms as a violation of their terms of service. Under California's Unfair Competition Law (Business and Professions Code § 17200) and Consumer Legal Remedies Act (Civil Code § 1750), we are required to be transparent about material risks. This section constitutes that disclosure. By continuing to use RolePilot's automation features after reading this disclosure, you acknowledge that you have been informed of this risk and choose to proceed voluntarily.
YOUR INDEMNIFICATION OBLIGATION FOR PLATFORM CLAIMS. You agree to defend, indemnify, and hold harmless RolePilot and its owners, officers, agents, and contractors from any claim, demand, lawsuit, arbitration, or proceeding brought by or on behalf of any third-party casting platform or related entity arising out of or relating to your use of RolePilot in connection with that platform, including any claim that RolePilot's automation on your behalf violated the platform's terms of service, caused harm to the platform, or infringed the platform's intellectual property or technical systems.
You may not use RolePilot to violate any law, contract, intellectual property right, publicity right, privacy right, platform rule, or third-party restriction.
You may not use the service to impersonate another person, submit false or misleading information, spam, scrape in an abusive manner, overload our systems, bypass technical limitations, probe for vulnerabilities, reverse engineer restricted portions of the service except as permitted by law, or attempt to gain unauthorized access to accounts, systems, or data.
You may not use the service in any way that could reasonably expose us, other users, or third parties to fraud, claims, reputational damage, regulatory risk, or platform enforcement actions.
ONE CASTING ACCOUNT PER PLATFORM. Each casting platform login (Actors Access, Backstage, Casting Networks, or any future supported platform) may be linked to one and only one RolePilot user account at any given time. Sharing a single platform login across multiple RolePilot accounts, transferring a connected platform login to a different RolePilot user, or attempting to circumvent this limit (including by creating multiple RolePilot accounts to split usage of a single platform login or to obtain multiple free trials) is prohibited. We enforce this limit at the database level and may suspend or terminate accounts found to be in violation. If you legitimately need to move your platform login to a different RolePilot account (for example after closing an old RolePilot account), disconnect the platform from the prior account first or contact support.
Chats, prompts, replies, workflow instructions, and similar messages you send to Kairo or other in-product AI features may be logged, reviewed, retained, and monitored by RolePilot for safety, abuse prevention, support, debugging, product operations, legal compliance, and enforcement of these Terms.
AUDITION LAB AI READER · MICROPHONE USE. The AI Reader feature in the Lab can listen to your voice through your device microphone for the sole purpose of detecting when you have finished speaking your line, so the AI partner reader can advance automatically. Microphone access is requested at the time you press Start Rehearsal with auto-advance enabled, and the access is granted by your browser only with your explicit permission. You are responsible for ensuring your use of the microphone-enabled rehearsal complies with all applicable laws in your jurisdiction, including any two-party consent requirements that may apply if other people are present and audible during your rehearsal session (such as in California, Florida, Illinois, Massachusetts, Pennsylvania, Washington, and other jurisdictions with all-party consent statutes). RolePilot does not record, store, or transmit your microphone audio; the audio is processed locally by your browser's Web Speech API. You may revoke microphone permission at any time through your browser settings or use the AI Reader without auto-advance.
AUDITION LAB · CONTENT YOU UPLOAD. When you paste, upload, or otherwise provide script text, sides, dialogue, or PDF documents to the Lab, you represent that you have all necessary rights to use that content for personal rehearsal and audition preparation purposes, and that providing the content to RolePilot for AI processing does not violate any non-disclosure agreement, copyright, or other obligation you owe to a third party. RolePilot processes that content through AI providers (such as OpenAI, Anthropic, or Inworld AI) solely to generate the requested Lab output (analysis, feedback, partner-reader audio, etc.).
Paid plans are billed on a recurring subscription basis unless otherwise stated. By purchasing a subscription, you authorize recurring charges to your selected payment method for the plan, interval, taxes, and any other clearly disclosed amounts.
Your subscription renews automatically on a monthly or annual basis (as selected at checkout) until you cancel. The renewal charge equals the then-current price for your plan. You may cancel at any time through the Settings page of your RolePilot account. Cancellation stops future renewals but does not retroactively cancel charges already incurred for the current billing period. To avoid being charged for the next billing period, you must cancel before your current period ends.
FREE TRIAL TERMS (CALIFORNIA ARL NOTICE): If you begin a free trial, you will not be charged during the trial period. At the end of the trial, your selected plan will automatically renew at the stated monthly subscription price unless you cancel before the trial ends. The length of the trial, the post-trial price, and cancellation instructions are presented clearly at the time you start the trial. You may cancel before the trial ends through Settings → Billing inside your RolePilot account with no charge.
ALL FEES ARE NON-REFUNDABLE AND NON-CREDITABLE EXCEPT WHERE REQUIRED BY APPLICABLE LAW. Without limiting the foregoing, we do not provide refunds or credits for partial billing periods, unused time, unused capacity, accidental non-use, plan downgrades mid-cycle, third-party platform enforcement actions taken against your connected accounts, or suspension or termination resulting from a violation of these Terms.
We may change pricing, plan structure, or included features from time to time. If a change materially affects your recurring subscription, we will provide notice as required by applicable law before the change takes effect.
If a payment fails, we may retry the charge up to 4 times over a 14-day period using automated payment recovery. If payment cannot be collected after all retry attempts, your subscription will be suspended until the outstanding balance is resolved.
TRANSACTIONAL EMAILS. By creating an account you agree that we may send you service-related (transactional) emails that are necessary to operate your account, such as sign-in and security notices, billing and trial reminders, submission and account activity, and important changes to the service or these Terms. These are not promotional and cannot be turned off while your account is active.
PROMOTIONAL EMAILS. With your account you also agree that we may send you occasional promotional emails, such as new features, product updates, tips, and limited offers or pricing. We do not sell or rent your email address, and we do not send unsolicited bulk spam.
OPTING OUT. You can opt out of promotional emails at any time, either from Settings → Notifications inside your account or by using the unsubscribe link included in every promotional email. Opting out does not stop transactional emails. We honor opt-out requests promptly as required by the CAN-SPAM Act and applicable law.
You retain ownership of the information, profile data, notes, media references, communications, and other content you provide to RolePilot, subject to the rights you grant us to host, process, store, transmit, display, and use that material as necessary to operate, secure, maintain, improve, and support the service.
You grant RolePilot a non-exclusive, worldwide, royalty-free license for the duration of your use of the service to use your content solely for those operational purposes.
You represent that you have all rights and permissions necessary to submit that content and that our use of it as contemplated by these Terms will not violate any law or third-party right.
You should not submit trade secrets, highly sensitive personal information, or third-party confidential information into AI chat surfaces unless you are authorized to do so and comfortable with such information being processed, stored, and monitored as described in these Terms and our Privacy Policy.
RolePilot and its associated software, interfaces, designs, logos, content, and related materials are owned by RolePilot or its licensors and are protected by applicable intellectual property laws.
Except for the limited right to use the service in accordance with these Terms, no license or right is granted to you by implication, estoppel, or otherwise. You may not copy, modify, distribute, sell, sublicense, or create derivative works from the service except as expressly permitted by us in writing or by applicable law.
We may add, remove, modify, suspend, or discontinue any part of the service at any time, including platform integrations, pricing, user interfaces, workflows, and feature access. We do not guarantee uninterrupted or error-free operation.
We may suspend or restrict access immediately if reasonably necessary to investigate misuse, protect users, maintain security, comply with law, respond to third-party complaints, or address technical or operational issues.
Third-party casting platforms may independently change their technical infrastructure, authentication flows, accepted workflows, or terms of service at any time and without notice to RolePilot. Such changes may cause RolePilot features to become temporarily or permanently unavailable for a given platform. RolePilot is not liable for service interruptions or feature degradation caused by changes made unilaterally by third-party platforms.
RolePilot does not act on informal complaint letters, takedown demands, or removal requests received from third-party casting platforms or their representatives unless we are compelled to do so by binding legal process under United States law. If we receive valid legal process, we will respond as required and may notify the affected user where permitted by law. We do not preemptively share user information, account telemetry, or platform-credential data with third-party platforms.
RolePilot's automated submission features — including Auto Apply and Discover submissions — operate through a limited pool of browser sessions shared across all users of the platform. When all available sessions are in use, your submission requests will be placed in a queue and processed in the order they were received, as sessions become available.
We do not guarantee how quickly a queued submission will be processed. Processing time depends on overall platform load, your plan tier, and concurrent demand from other users. RolePilot is not responsible for submission windows that close, roles that expire, or opportunities that become unavailable while your request is pending in the queue.
The number of simultaneous sessions available at any given time is determined by our infrastructure and may change without notice. We do not guarantee a specific queue position, wait time, or number of concurrent sessions at any time.
PLAN LIMITS. Each paid plan includes a monthly and daily auto-submission ceiling: the Solo plan permits up to 150 auto-submissions per calendar month and up to 5 per day; the Pro plan permits up to 500 auto-submissions per calendar month and up to 20 per day; the Studio plan permits up to 1,500 auto-submissions per calendar month and up to 50 per day. These limits exist to protect platform stability, prevent abuse of casting services, and keep service costs predictable. Limits may be adjusted from time to time with at least thirty (30) days written notice to active subscribers. Submissions you initiate manually do not count toward these caps.
FREE TRIAL CAP. The 7-day free trial offered on each paid plan is limited to a total of 50 auto-submissions across the entire trial period, regardless of plan tier. Once the 50-submission cap or the 7-day window is reached, auto-submissions are paused until the trial converts to a paid subscription. The trial cap exists to prevent abuse and is disclosed at signup. Manual submissions and Discover browsing are not affected by the trial cap. We may further limit trial eligibility for accounts that share casting-platform credentials with a previously trialed account.
We may temporarily pause or rate-limit your account if usage exceeds your plan's stated limits, if your activity creates undue burden on our infrastructure or on connected casting platforms, or if your activity is reasonably likely to violate the rules of a connected platform.
RolePilot automates the submission of applications to casting breakdowns on your behalf. RolePilot does not guarantee that any submission will result in an audition, callback, booking, income, employment, or any other professional outcome.
Marketing language on our website, app, promotional materials, and social media — including but not limited to phrases such as "apply to more roles," "more submissions," "submit while you sleep," or similar expressions — describes the automated submission functionality of the service. Such language does not constitute a promise, representation, or warranty that use of RolePilot will increase the number of auditions you receive, the roles you are offered, or any other measurable career result.
Casting decisions are made exclusively by casting directors, producers, and their teams, entirely outside RolePilot's control. Role availability, eligibility criteria, submission windows, casting director preferences, and other variables affecting professional outcomes are determined by third parties and may change at any time without notice.
You acknowledge that your results will vary based on factors entirely outside our control, including but not limited to your talent, experience, appearance, representation, the competitive landscape, platform availability, platform enforcement decisions, and casting director discretion.
RolePilot is a workflow toolkit. The people behind the casting tables — directors, producers, agents, and the actors they choose to see — make the final decisions about who is auditioned, called back, and booked. We can move material faster and surface fits more efficiently. We cannot move the people.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, STATUTORY, OR OTHERWISE.
WITHOUT LIMITATION, WE DISCLAIM IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, NON-INFRINGEMENT, QUIET ENJOYMENT, ACCURACY, AVAILABILITY, AND ANY WARRANTIES ARISING OUT OF COURSE OF DEALING OR USAGE OF TRADE.
WE DO NOT WARRANT THAT ROLEPILOT WILL BE ERROR-FREE, THAT THIRD-PARTY PLATFORMS WILL REMAIN COMPATIBLE OR ACCESSIBLE, THAT ANY ROLE OR SUBMISSION DATA WILL ALWAYS BE COMPLETE OR CURRENT, THAT USE OF THE SERVICE WILL RESULT IN AUDITIONS, BOOKINGS, OR CAREER ADVANCEMENT, OR THAT USE OF THE SERVICE WILL NOT RESULT IN RESTRICTIONS, SUSPENSIONS, OR BANS ON ANY THIRD-PARTY PLATFORM.
ROLEPILOT EXPRESSLY DISCLAIMS ANY WARRANTY THAT ITS SERVICE COMPLIES WITH THE TERMS OF SERVICE OF ANY THIRD-PARTY CASTING PLATFORM. PLATFORM TERMS CHANGE WITHOUT NOTICE AND ROLEPILOT CANNOT GUARANTEE ONGOING COMPLIANCE WITH ANY PLATFORM'S RULES.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, ROLEPILOT AND ITS OWNERS, OFFICERS, DIRECTORS, EMPLOYEES, CONTRACTORS, LICENSORS, AND SERVICE PROVIDERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, REVENUE, BUSINESS, GOODWILL, DATA, USE, OR OTHER INTANGIBLE LOSSES, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
WITHOUT LIMITING THE FOREGOING, ROLEPILOT WILL HAVE NO LIABILITY WHATSOEVER FOR: (A) ANY SUSPENSION, RESTRICTION, DE-PRIORITIZATION, OR PERMANENT BAN OF YOUR ACCOUNT ON CASTING NETWORKS, BACKSTAGE, ACTORS ACCESS, OR ANY OTHER THIRD-PARTY PLATFORM; (B) ANY LOSS OF AUDITION OPPORTUNITIES, CASTING CALLBACKS, BOOKINGS, INCOME, PROFESSIONAL RELATIONSHIPS, OR CAREER ADVANCEMENT RESULTING FROM SUCH PLATFORM ACTIONS; (C) ANY DECISION BY A THIRD-PARTY PLATFORM TO CHANGE ITS POLICIES, TECHNICAL INTERFACES, OR ENFORCEMENT PRACTICES IN A WAY THAT AFFECTS YOUR ACCOUNT OR OUR SERVICE; OR (D) ANY FEES, FINES, OR CHARGES IMPOSED ON YOU BY A THIRD-PARTY PLATFORM.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THE SERVICE OR THESE TERMS WILL NOT EXCEED THE GREATER OF: (A) THE AMOUNT YOU PAID TO ROLEPILOT FOR THE SERVICE DURING THE TWELVE MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM; OR (B) ONE HUNDRED U.S. DOLLARS (US$100).
Some jurisdictions do not allow certain limitations, so portions of this section may not apply to you to the extent prohibited by law. In California, liability for fraud, fraudulent inducement, or willful injury to the person of another is not disclaimed. Nothing in this section limits claims that may not be waived under applicable California law.
You will defend, indemnify, and hold harmless RolePilot and its affiliates, personnel, licensors, and service providers from and against any claims, liabilities, damages, judgments, losses, costs, and expenses, including reasonable attorneys' fees, arising out of or related to: (a) your use of the service; (b) your content; (c) your violation of these Terms; (d) your violation of any applicable law or regulation; (e) your violation of any third-party right, including any right of a casting platform or other industry service provider; (f) any enforcement action taken by a third-party platform against your account as a result of your use of RolePilot; or (g) any claim by a third-party platform that RolePilot's automation on your behalf violated that platform's terms of service.
You may stop using the service at any time. We may suspend or terminate your access at any time if we reasonably believe you violated these Terms, created risk or harm, or if continued operation is no longer commercially or technically feasible.
INACTIVE FREE ACCOUNTS. To keep the service secure and our systems lean, a free account — an account that has never held a paid subscription or free trial — that remains inactive for twelve (12) consecutive months may be deleted along with its associated personal data. Before any such deletion we will send at least one notice to the email address on file approximately thirty (30) days in advance, so you have the opportunity to sign in and keep the account. Signing in resets the inactivity period. Accounts that hold or have ever held a paid subscription or trial are not subject to this automatic inactivity deletion (their data is governed by the retention terms described elsewhere in these Terms and our Privacy Policy). This provision does not limit your right to request earlier deletion, nor our right to terminate for the reasons described above.
Sections that by their nature should survive termination will survive, including sections relating to billing obligations, intellectual property, disclaimers, limitations of liability, indemnification, dispute resolution, and general provisions.
To the extent permitted by applicable law, these Terms are governed by the laws of the State of California, without regard to conflict-of-law rules.
To the extent permitted by applicable law, any dispute arising out of or relating to these Terms or the service will be brought exclusively in the state or federal courts located in California, and you consent to personal jurisdiction and venue in those courts.
Nothing in these Terms limits either party's right to seek injunctive or equitable relief where appropriate.
We may update these Terms from time to time. If we make material changes, we may provide notice by updating the effective date, posting the revised Terms on the website, sending email notice, or using in-product messaging.
Your continued use of RolePilot after updated Terms become effective constitutes acceptance of the revised Terms.
RolePilot uses artificial intelligence models to power features including Kairo (conversational casting partner), Smart Match scoring, AI Cover Notes, match reasoning, and related drafting and recommendation surfaces. AI-generated content is produced as a draft for your review and professional judgment.
We make reasonable efforts to produce useful, on-brief output. AI models are nonetheless capable of error, omission, hallucination, outdated context, or content that is plausible but factually wrong, including incorrect role information, misattributed credits, fabricated details, off-tone copy, or inappropriate phrasing. AI-generated output is not professional advice and should not be relied upon as such.
YOU ARE RESPONSIBLE FOR REVIEWING AI-GENERATED OUTPUT BEFORE IT IS SENT ON YOUR BEHALF OR SUBMITTED TO ANY CASTING PLATFORM, CASTING DIRECTOR, AGENT, MANAGER, OR THIRD PARTY. By enabling Auto Apply, AI Cover Notes, or any other automated feature that submits AI-generated content without per-item review, you acknowledge that automation runs on standing pre-approval. You accept full responsibility for the content of every submission generated and sent under those settings, including content you have not individually inspected before transmission.
RolePilot is not liable for casting outcomes, professional reputation impact, missed opportunities, account flags, declined bookings, or any other consequence arising from AI-generated content that you elected to submit, send, or auto-submit, regardless of whether the content was reviewed by you before transmission.
We do not train any AI models — third-party or our own — on your inputs or outputs. Third-party AI providers (currently OpenAI and Anthropic) are used under their default API terms, which contractually prohibit the use of customer data submitted through their APIs to train provider foundation models.
We do retain your activity within RolePilot — your applications, callbacks, dismissals, ratings, profile data, prior Kairo conversations, prior cover notes, and similar signals — to operate the service, personalize your experience, power continuity (so Kairo remembers prior context), generate analytics, support debugging, prevent abuse, and improve our matching, scoring, and drafting systems through human review and product iteration. This activity is data storage and product operation, not automated model training.
You should not submit medical, legal, financial, biometric, government-issued identifiers, or other highly sensitive information into AI surfaces. AI features are designed for casting and audition workflows and are not appropriate for confidential or regulated data of any kind. We are not responsible for the consequences of voluntarily submitting such information.
If you delete your account, we delete the personal data associated with it within 30 days, subject to retention exceptions described elsewhere in these Terms and our Privacy Policy. Aggregated or de-identified statistics derived prior to deletion that no longer reasonably identify you may be retained.
Brand names, logos, and trademarks belonging to third-party casting platforms — including Actors Access (Breakdown Services, Ltd.), Backstage (Backstage LLC), and Casting Networks (Talent Systems, LLC) — are the property of their respective owners. RolePilot uses those names and visual marks descriptively to identify which platforms our service integrates with so users can recognize the surface they are connecting.
Their inclusion in our website, application, marketing materials, or these Terms does not imply endorsement, sponsorship, partnership, certification, or affiliation, and does not transfer any rights to RolePilot. RolePilot is an independent service and is not owned by, controlled by, or formally affiliated with any of these companies.
If you are a rights-holder and believe one of your marks has been used in a way that exceeds nominative fair use, contact hello@rolepilot.io and we will review promptly.
